Overview

The Employee Data page is where you manage employee-level information in Kamsa, including job titles, locations, managers, compensation, and employment details.

Users with Admin permissions can create, view, and edit employee records.

Customize Your View

You can control which fields appear on the Employee Data page and the order in which they are displayed.

  1. On the Employee Data page, click More > Edit Table View.

  2. To show or hide a column, toggle the icon next to the field.

  3. To rearrange columns, click and drag the fields up or down.

  4. To show or hide an entire section, such as Equity, toggle the eye icon next to the section name.

  5. Click Reset at any time to return to the default view.

Note: Fields that are hidden by default can always be added back to your view.

To close the settings panel, click the X in the top-right or click anywhere outside the panel.

Add or Update Employee Data

There are three primary ways to add or update employee data in Kamsa:

  1. Directly in Kamsa: Best for making smaller updates

  2. Census Data Upload: Best for adding employees or making bulk updates

  3. HRIS Integration: Sync employee data from an enabled HRIS integration

1 - Update Directly in Kamsa

To update an existing employee:

  1. Go to Employee Data.

  2. Find the employee using the search box.

  3. Click Edit.

  4. Make your changes.

  5. Click Done.

💡 Tip
To update the same field for multiple employees, select the checkboxes next to the applicable employees, make the change to one of the selected rows, and the change will apply to all selected employees.

2 - Add or Update Employees via Census Data

Use a Census Data Upload when you want to add multiple employees at once or make bulk updates.

You have two ways to start:

1) Start with a blank template

Go to Employee Data > Upload Employees > Import Census Data, then click Download a blank template.

2) Update existing employee data

From the same window, click Download your current data here to export the employee data currently stored in Kamsa. This can also help you reconcile differences between Kamsa and your HRIS before uploading updates.

Once you have the file:

  1. Add new employees starting at the first blank row, if applicable.

  2. Update existing employee information as needed.

  3. Save the file.

  4. Return to Import Census Data and click Upload File.

For smaller or one-off changes, editing directly in Kamsa is typically faster.

Employees with New or Updated Titles

When adding or updating employee titles through Census Data:

  • Leave the Kamsa Job Code blank if you want Kamsa to suggest a new job match.

  • Enter the Kamsa Job Code if you already know the correct match. A list of job codes is available in the template.

  • If you know the Job Level but not the Job Code, enter the Kamsa Job Level and leave the Job Code blank. Kamsa will match the job family.

3 - Import from Your HRIS

If your HRIS integration is enabled:

  1. Go to Upload Employees > Import from HRIS.

  2. Follow the prompts to sync employee data from your HR system into Kamsa.

Note: This option will only appear if an HRIS integration has been enabled. Contact [email protected] for more information.

Common Employee Data Updates

For most employee fields, go to Employee Data > Edit, make the change, and click Done.

To make the same change for multiple employees, select the applicable employees before updating the field. For larger updates, you can also use a Census Data Upload.

Terminate & Delete Employees

Terminate an Employee

To mark an employee as no longer with the company, change their Employment Status from Active to Terminated.

You can do this three ways:

Edit one employee

  1. Go to Employee Data > Edit.

  2. Change Employment Status to Terminated.

  3. Click Done.

Bulk edit multiple employees

  1. Enter Edit mode.

  2. Select the employees you want to update.

  3. Change the Employment Status for one selected employee to Terminated.

  4. Kamsa will apply the change to all selected employees.

  5. Click Done.

Update via Census Data

  1. Export Census Data.

  2. Change the Employment Status to Terminated for the applicable employees.

  3. Save the file.

  4. Upload it back into Kamsa.

Note: Terminated employees are filtered out of the Employee Data page by default. Adjust or remove the filter to view them.

Delete an Employee

Deleting an employee removes the record from Kamsa entirely.

  1. Go to Employee Data > Edit.

  2. Select the checkbox next to the employee.

  3. Click Delete at the bottom of the page.

  4. Select Yes, Delete to confirm.

If the employee has direct reports, Kamsa will prompt you to reassign them. By default, they will be reassigned to the deleted employee’s manager, but you can select a different employee if needed.

Once deleted, the employee will no longer appear in Kamsa.

How Employee Data Changes Flow Through Kamsa

Some employee data changes may automatically affect related fields in Kamsa.

If you change...

Kamsa may update...

Company Job Title

Kamsa Job Match and Job Level

Country or Work Location

Market Data Cut

You can also directly assign the Kamsa Job Code or Market Data Cut in Census Data when you want to control the match.

If an employee’s Company Job Title changes, Kamsa will re-check the Kamsa Job Match and Job Level based on the new title. If the Company Job Title remains the same, the Kamsa Job Match will remain unchanged.

Over time, Kamsa’s machine learning learns from job match corrections.

Example:

Company Job Title: Business Development Representative
↓
Initial Kamsa Job Match: Business Development Manager
↓
You correct the Kamsa Job Match to: Inside Sales Rep
↓
Going forward: Employees with the Company Job Title Business Development Representative can be matched to Inside Sales Rep.

Keeping Employee Data Up to Date

We recommend reviewing and updating employee data at least once a month and before each compensation review.

Keeping job titles, levels, locations, and compensation current helps ensure employees are matched to the appropriate jobs, Market Data Cuts, and pay benchmarks.

Current employee data also contributes to Kamsa’s anonymized market database, which is refreshed quarterly.

Filtering Employee Data

Use Filters on the Employee Data page to view specific groups of employees.

For example, you can filter by:

  • Country

  • Company Department

  • Job Level

You can also combine filters. For example:

  • Country = United States

  • Company Department = Sales

  • Job Level = IC1–IC7

Click Save to apply your filters.

Notes:

  • Exports only include employees that match your active filters.

  • Clear all filters before exporting if you want to include all employees.

  • Terminated employees are filtered out by default.

  • Remove a filter by clicking the X on its tag.

Exporting Employee Data

From the Employee Data page, click More to choose between two export types.

Census Data Export

Use the Census Data Export when you plan to make changes and upload the file back into Kamsa.

The Census Data Export:

  • Contains employee data in the required upload format

  • Is designed for adding or updating employees in bulk

  • Respects active Employee Data filters

Typical workflow:

  1. Apply filters, if needed.

  2. Export Census Data.

  3. Update the applicable fields, such as Business Title or Work Location.

  4. Save the file.

  5. Re-upload it under Upload Employees > Import Census Data.

Example: To update employees who moved out of San Francisco, filter by Work Location = San Francisco, export Census Data, update their locations, and upload the file back into Kamsa.

Note: Changes to Country or Work Location may also update the employee’s Market Data Cut, which recalculates the Market Midpoint and Compa-Ratio.

Full Data Export

Use the Full Data Export when you want a complete view of the employee and Kamsa-specific fields available in the platform.

The Full Data Export:

  • Includes all columns available in Kamsa

  • Includes additional Kamsa-specific fields, highlighted in green

  • Respects active Employee Data filters

The two exports contain different fields. For example, Manager ID appears in the Census Data file but not on the Employee Data page, while certain Kamsa-specific fields are available in the Full Data Export.

Activity Log

The Activity Log shows a history of changes made to employee data, including:

  • Who made the update

  • What changed

  • Whether the change was made directly on the Employee Data page or through a Census Data upload

Access the Activity Log from the activity indicator in the top-right of the Employee Data page.

You can also export the Activity Log by clicking Export.
