Filling Out the Census Data File

The Census Data template has color-coded headers:

  • Green = Required fields

  • White = Optional fields

  • Gray = Admin-only fields

Required Fields (Green)

You must complete these for each employee:

  • Employee ID

  • Employee Name

  • Company Department

  • Company Job Title

  • Date of Hire (MM/DD/YYYY)

  • Country

  • Work Location

  • Currency (3-letter ISO code)

  • Base Salary (numeric only, no symbols)

  • Pay Basis (Annual, Hourly, etc.)

  • Employment Type (Full-time, Part-time, Temporary, Contractor)

  • Employment Status (Active, Leave of Absence, Terminated)

Special notes:

  • Employee ID: Must be consistent across uploads. If your company doesn’t use IDs, enter the full employee name (unique for each).

  • Work Hours per Week: Only required for part-time employees. Kamsa annualizes salaries using this field.

  • Hourly employees: Enter hourly rate in Base Salary. Kamsa will annualize using country-standard work hours.

  • Employment Status: For your first upload, exclude terminated employees. For existing employees, use “Terminated” if applicable.

Optional Fields (White)

These fields are not required but are useful for compensation reviews:

  • Manager Name + Manager ID (both required if one is entered; Manager ID must match the Employee ID of the manager)

  • Exemption Status (U.S./Canada only)

  • Gender (Female, Male, Non-Binary)

  • Target Bonus (Amount or %) → enter one, not both

  • Target Commission (Amount or %) → enter one, not both

  • Last Date of Increase (MM/DD/YYYY)

  • Performance Rating (must match Company Profile settings)

  • Equity Data:

    • Total # of Shares Granted

    • Total # of Unvested Shares

    • New Hire Grant Amount

    • Date of Last Grant (MM/DD/YYYY)

    • Last Grant Amount

    • Type of Last Grant Amount

Admin-Only Fields (Gray)

Admins may enter these, but they can be left blank:

  • Business Title

  • Kamsa Job Level

  • Kamsa Job Code*

  • Market Data Cut**

Instructions & Key Rules
  • Employee ID: If changed, update directly in the employee’s profile. For bulk changes, contact support@kamsa.com.

  • Company Job Title: Used by Kamsa’s machine learning for job matching.

  • Country + Work Location: Determines the Market Data Cut recommendation.

  • Currency: Must align with bonus/commission amounts entered.

  • Dates: Always format as MM/DD/YYYY.

Pro Tips for Uploads
  1. Drop-down fields: Always select from the list. Free-text entries will fail upload.

  2. Employee ID: Cannot be blank. Use unique names if IDs aren’t used.

  3. Manager fields: Manager Name must match exactly to Employee Name; Manager ID must match that employee’s Employee ID.

  4. Base Salary & Currency: Numeric only; ensure all amounts match the Currency field.

  5. Part-time employees: Enter part-time salary in Base Salary and weekly hours in Work Hours per Week.

    • If you enter annualized salary instead, put “40” in Work Hours per Week.

  6. Dates: Must use MM/DD/YYYY or upload will fail.

  7. Bonus/Commission: Enter only one (Amount or %). For % fields, enter a whole number without the “%” sign (e.g., 15 not 15%).

  8. Equity: New Hire Grant Amount must be less than or equal to Total Shares Granted.
